Employee Privacy Policy

How WorkplaceYou handles information when employees use its workplace-sharing and text-messaging services.

Scope

This policy applies when an employee uses WorkplaceYou to share a workplace concern, idea, feedback, or question, including through the website, phone, or SMS intake service. It describes WorkplaceYou’s handling of information on behalf of the participating employer.

Information we process

Depending on the choices you make, we may process the information you submit, your selected share type, work location or department, answers to employer or optional follow-up questions, your name if you choose to identify yourself, and an email address if you request notifications.

For SMS intake, we also process your mobile number, message content, message timing and delivery information, and technical records needed to operate, secure, troubleshoot, and document the conversation. Your PIN is set through a secure link and should never be sent by text.

How information is used

We use information to provide the intake and follow-up service, deliver what you authorize to the appropriate employer, enable secure return access, send requested notifications, prevent misuse, maintain security, troubleshoot problems, and comply with legal obligations.

What your employer receives

Your employer receives the information you authorize for submission and related follow-up communications. If you submit anonymously, WorkplaceYou does not provide your name or mobile number to your employer. Information you voluntarily include in your submission may still identify you.

Service providers and disclosure

WorkplaceYou may use service providers that process information only to provide infrastructure, messaging, security, communications, storage, and related operational services on our behalf. We may also disclose information when required by law, to protect rights or safety, or as part of a corporate transaction subject to appropriate protections.

Mobile information, text-messaging originator opt-in data, and consent will not be sold or shared with third parties or affiliates for marketing or promotional purposes.

Retention and security

We retain information as needed to provide the service, meet employer-configured requirements, maintain security and audit records, and comply with legal obligations. We use administrative, technical, and organizational safeguards designed to protect information, but no system can guarantee absolute security.

Choices

You may choose whether to identify yourself when anonymous submission is offered, whether to provide optional work-location or department information, whether to answer optional questions, and whether to receive email notifications. For SMS, text STOP to opt out and HELP for assistance.
